Agenda

1. Review of Past Minutes, SDSU Nov. 6, 2009: Past minutes were approved (Virginia Allison circulated past min.’s before the meeting via email in case there were any questions/edits).

2. Travel Award Presentation: Alyssa Resnick presented our student travel award on behalf of the 2010 ARLIS/SC travel award committee (Sarah Sherman, Emily Meredith, and Laurel Bliss) to Maggie Hanson.  A recent graduate of UCLA’s  MLIS program, Maggie currently works in the Balch Research Library at the Los Angeles County Museum of Art. Maggie has Bachelor’s degrees in English Literature and Medieval Studies from Smith College and is also an alumni  of Northfield Mount Hermon.

We did not have applicants for the Judith A. Hoffberg Travel Award this year.

3. Chair Report: (Alyssa Resnick) The ARLIS/SC board met in Feb. and voted on a new meeting model for this year.  Our chapter will hold three mini meetings (spring, summer, winter) that feature a tour of different libraries. Additionally we will hold one large chapter meeting with papers in the fall. The Fall Annual Meeting will include one theme, one major speaker and a general call to members for speakers/papers. The board agreed to continue holding additional informal social meet-ups for the chapter such as getting together for the LA Artwalk.

The chapter held it’s Spring Mini Meeting this March with a tour of the Art, Music, & Recreation Department of the Central Los Angeles Public Library, as well as a tour of the  SCI-Arc Library. Stay tuned for more information about our upcoming Annual Fall Meeting that will include a call for papers.

4. Vice Chair Report: (Krista Ivy) Krista polled chapter members for interest in upcoming mini meetings.  Options currently under consideration are the Schindler house, perhaps including other homes in Malibu such as the Eames house. Amy C. noted that it may be good to choose the Malibu houses that are not normally open, ie. Rindge House, Krista will look into this as well as the Adamson house. Krista is also looking into the museum of Latin American Art and/or the Sam Maloof Museum in Ontario for a mini meeting that could take place mid to late June.

5. Past Chair Report: (Sarah Sherman) In mid Feb. our chapter hosted the first ever, pilot peer mentoring workshop at the chapter level. We used the video format and model that is normally used at the annual ARLIS/NA conference. We had 5 mentees and 5 mentors, the pilot program went well and we hope to do it again. One challenge in putting on the program was getting enough mentors; members may be contacted to help fill in the gaps for the next round. The call will be announced in next newsletter.

6. Treasurer’s Report: (Cathy Billings)

7. Secretary’s Report The chapter currently has 36 members: (5 new members, 1 student).

Member Announcements

Barbara Romininski from the ARLIS/NA board came to announce that the board has accepted our proposal to hold an annual conference in Pasadena, for 2013. She explained that TEI has requested ARLIS/NA refrain from planning too far in advance given the unstable economy, thus the slow turnaround time regarding a decision from the board.

Barbara relayed the concern that vendors think Pasadena is not easy to fly into. This is a marketing issue that our chapter will need to work hard on. Amy C. offered to speak to specific vendors on this matter. The conference planning manual is currently undergoing revisions; it should be consulted as we move forward into the planning phase and will be available online. We will be getting an official letter with more details soon, Mari Russell and John Evans will be working with us to plan for the conference. Barbara let it be known that we can count on the Northern California chapter for volunteers.

Amy C. announced that the mystery readers dinner is Sun. at 7pm

Announcing the ARLIS/SC Chapter 2010 Board

In 2009, the ARLIS/SC Nominating Committee sought nominations for the positions of Vice-Chair/Chair Elect (three year term as Vice-Chair; Chair; Past-Chair) and Secretary (two year term).

We received one nomination for each office. The nominees have confirmed their willingness to serve, thus these nominees are now our newly elected board members.

Krista Ivy

Biography

Krista Ivy is a Reference/Instruction Librarian at the University of California, Riverside where she serves as the Art and Art History Subject Specialist. She received her MA in Art History from Binghamton University and her MLS at the University at Buffalo. Presently she serves on the ARLIS/NA Research Awards Committee, is the Moderator of the ARLIS/NA Teaching Librarians Discussion Group, and is the Co-Chair of the ARLIS/NA Diversity Committee.

Statement of Goals

While serving as Vice-Chair/Chair Elect of the Southern California Chapter of ARLIS/NA, my goals are to provide stimulating meetings and discussions for the membership, to promote the mission of ARLIS/NA and the goals of the Southern California Chapter as stated in the Bylaws, and to further develop the Chapter’s Blog to best meet the communication needs of the members and the public.

Virginia Allison

Biography

Virginia Allison has been the Research Librarian for Visual Arts (Studio Art, Art History, Film and Media Studies, and Visual Studies) and Dance at The University of California, Irvine since August 2008. She arrived from Watkins College of Art and Design in Nashville, where she was Assistant Librarian/Visual Resources Curator. In this capacity, Virginia built a searchable digital archive of student and copy work, launched a library instruction program, and curated an enviable zine collection. In the spring of 2008, Virginia won a travel award to attend the annual Visual Resources Association conference. At the UC Irvine Libraries Virginia chairs the Exhibits Team and is actively involved in instruction, collection development, reference, and research. Her research interests meet at the intersection of new media and visual literacy. As a member of ARLIS/SC, Virginia volunteered to serve on the 2008 Travel Awards Committee. She is currently a mentor in the ARLIS/NA program and is the vice-moderator of ARLIS/NA’s Reference Instruction Services Section (RISS). Virginia has a Master’s Degree in Library and Information Science from the University of Alabama and a Bachelor of Fine Arts from the University of Montevallo (Alabama).

Statement of Goals:

Provide accurate and timely minutes of all meetings, in addition to the maintenance and organization of Chapter documents, such as an updated roster of Chapter Members.
Provide excellent coordination and communication with other ARLIS/SC Board Members, and our Chapter Members, as appropriate.
Assist the ARLIS/SC Chapter in making our blog a dynamic and user-friendly mode of communication.
Assist the ARLIS/SC Board in planning for and executing programmatic endeavors such as business meetings, and the Mentorship Program.

Review of Past Minutes
June 12, 2009 Chapter meeting minutes were approved without changes.

Elections
It was announced that the Chapter has two board positions to fill beginning January 1, 2010: Secretary and Vice-Chair/Chair Elect. The Board will issue a call on the Northern/Southern California listserv and ARLIS/SC blog calling for volunteers to serve on a nominating committee. It was noted that the Secretary is a two-year position responsible for the membership database and mailings to chapter members. The Vice-Chair/Chair Elect is responsible for planning events and meetings. Members were referred to the Bylaws on the ARLIS/SC blog for more detailed information about the duties of the two positions.
 
TEI (Technical Enterprises, Inc. – ARLIS/NA’s new management company)
TEI now offers to host chapter websites and listservs under a sub-domain of the ARLIS/NA website.

  • Some attendees felt that ARLIS/SC should take advantage of the website hosting service and others pointed out that the existing blog is still in development and that much work recently went into the transition from website to blog format.
  • Questions were raised about how the website would be updated if it is hosted by ARLIS/NA. It was noted that currently only Board members are able to post to the ARLIS/SC blog but that the intention is to have the blog open for all members to post. Members would like to see this happen.
  • The Texas/Mexico Chapter’s website was given as an example of a website that allows members to contribute and comment as they would with a blog.  It was noted that Trish Sandler-Rose, during her tenure as ARLIS/SC Chapter president, had investigated the technology and determined it was beyond our capability.
  • Some members suggested that the Chapter should investigate the listserv hosting because it would provide stability and continuity and the function of the list would not be dependent on one member and their institution. It was noted that because we share a list with the Northern California Chapter we would want to consult with them before making any changes.

TEI can now collect Chapter dues, on a calendar year basis. They collect the dues and issue the chapter a check. The consensus among members was that the ARLIS/SC Chapter should not use this service at this time but wait and see how it goes with other chapters who do use the service. Reasons given for not using the service included:

  • They only offer one category of membership and we have more than one category (free students).
  • They can’t accept donations to the Chapter and memberships at the same time.
  • General lack of flexibility.

It was noted that VRA recently transitioned to a similar process where chapter memberships are renewed online and it was a lot of work and the chapter had to update bylaws.

Starting a collection development group/collaboration
Kathleen Salomon at the Getty Research Institute asked Sarah Sherman to present and gauge interest in the idea of starting a collection development group similar to the catalogers’ group that exists in Southern California. The expectation is that it would operate similarly to this group, with in-person meetings and a listserv as forum for discussing issues and problems. There was a high level of interest among the members present, and it was noted that with the social networking tools available there would be collaboration tools beyond just a listserv. Sarah will tell Kathleen that there is interest and suggest that she reach out to members via the ARLIS/SC listserv.
 
Pasadena 2013 conference proposal update
The contact at the Pasadena Convention Center has spoken with the Executive Director of TEI. The Convention Center contact reported back to Alyssa Resnick that his sense is that TEI feels ARLIS/NA has been planning conferences too far in advance and perhaps that is why the Chapter has not heard further from the Board regarding their proposal. Alyssa has emailed the TEI Executive Director so the “ball is in their court”. She will follow-up.

The layout of the Convention Center was discussed and it was noted that the exhibits would be located in close proximity to the meeting rooms (an issue that is always of concern to the vendors).

Chapter meeting ideas for 2010

  • Lynda Bunting made initial contacts at the Torrance Art Museum and Torrance Public Library and they would be interested in having ARLIS/SC visit their venues for a chapter meeting. Alyssa has the contacts for follow up in 2010.
  • There is interest in a joint mini-conference type meeting with ARLIS/NC in Santa Barbara. The Board will contact NC to discuss a two-day joint meeting in 2010, perhaps in January because at that time Santa Barbara is cheaper and less-crowded.

Treasurer’s Report
ARLIS/SC bank account balance is $3,183.66.

Secretary’s Report
54 current members; 4 new members joined at the OTIS meeting in June.

Chair’s Report

  • The Canvas newsletter is coming out at the end of the year.
  • The year long mentoring program, modeled on the ARLIS/NA program, will start in February. The ARLIS/SC chapter is the first trial of the program at the chapter level.
  • The mentoring workshop is tentatively scheduled to take place on February 15 at the Getty.
  • Calls for mentors and mentees will go out over the listserv and on the ARLIS/SC blog.

Member Announcements

    Chizu Morihara: Susan Moon is asking for ideas for uses for the remaining Judy Hoffberg t-shirts which now belong to UCSB. Chizu will find out whether the shirts can be sold to raise funds.

    Maureen Burns: The VRA national conference will be in Atlanta in March and reminds us that the following year is the joint ARLIS/NA – VRA conference in Minneapolis.

    Robert Gore: Gave us an update on the status of the UCLA Arts Library. It is open for the full academic year. Janine Henri and Robert are on a study team that is looking at options for the library. The study team’s work ends in December and a report with recommendations will be written for the University Librarian Gary Strong.

    Laurence McGilvery: In 1970 he created an index to the first 6 years and 4 months of ArtForum. In 2002 he made the index available for free on his website. In the next couple of weeks a new, improved version (easier to use) will be up on the website and still available for free. When the new version of the index is available he will send a post to the ARLIS-L listserv.
